How to Add and Edit YouTube Subtitles for Product Videos

Add YouTube subtitles through your video’s language tracks in YouTube Studio. For an existing automatic track, review the words and timing before sharing the video with customers.

For a product demonstration, accurate captions keep the product name, measurements and instructions clear. This guide covers the desktop workflow, a practical editing process and a final check you can reuse for every upload.

Prepare the words customers need to understand

Start with the finished video. A script is a useful reference, but the caption text should match what was actually recorded. Speakers often change a phrase, skip a sentence or add an explanation while filming. Check those differences before importing a transcript.

Create a short reference list containing the brand name, model number, specialist terms, units and any spoken offer details. Have the product information beside you while editing. A caption that changes “fifteen” to “fifty” can change how someone understands a demonstration.

For your next recording, use our product demo video script template to plan a clear sequence. Say the action while showing it, and leave enough space between instructions for the viewer to follow.

Add a subtitle track in YouTube Studio

YouTube’s official subtitle instructions document these options:

  1. Open YouTube Studio and select Subtitles.
  2. Choose the video, click Add language and select the language.
  3. Under Subtitles, click Add.
  4. Choose your input method and complete its save or publish step.
  • Upload file: use a supported subtitle file. Choose With timing or Without timing, continue, select the file and save.
  • Auto-sync: enter or upload a transcript in the same language as the spoken audio. YouTube supports this for languages recognized by its speech-recognition technology. Select Edit, then Save and close; processing can take a few minutes and the completed track publishes automatically.
  • Type manually: enter the captions while reviewing the video, then select Publish.

Choose the method that fits the material you already have. A prepared timed file suits a video editor’s handoff; a carefully checked transcript suits a recorded explanation. For a short demonstration with little speech, entering the lines yourself may be straightforward.

Edit automatic captions and adjust their timing

Follow YouTube’s caption editing guide to update the words and timestamps:

  1. Return to Subtitles and open the video.
  2. Find the language and select Edit in its Subtitles column.
  3. For an automatic track, use Duplicate and edit. YouTube creates a revised track; if an existing draft is present, the Continue action overwrites that draft.
  4. Select a caption line and correct the wording.
  5. For timing changes, edit the start and end timestamp boxes. Choose Edit timings if those boxes are hidden.
  6. Click Publish when the corrections are ready.

Work in two passes. First check meaning: names, quantities, instructions and missing words. Then check timing: does each line appear when the corresponding words are spoken, and does it disappear before the next idea? Separating these checks makes it easier to notice both kinds of error.

A fictional product-demo example

North Desk is a fictional business used for this example. Its team records a video explaining how to adjust a laptop stand. The presenter says, “This is the Lift 15. Press the side button before raising the platform.”

The caption reviewer checks “Lift 15” against the product’s model name and confirms that “before” remains in the instruction. Removing that word would change the sequence. The reviewer then aligns the second sentence with the presenter’s explanation so the viewer can connect the spoken instruction with the button shown on screen.

The team keeps a simple review record: video title, language, reviewer, date and any terminology corrected. When another video features the same stand, the editor already has the approved spelling.

Use this caption review checklist

  • Product identity: brand names, model numbers and versions match the recording.
  • Instructions: actions, sequence words and quantities retain their intended meaning.
  • Sound information: include meaningful sounds needed to understand the scene, such as a confirmation beep when it signals that a step has finished.
  • Readability: punctuation and phrase breaks make each instruction easy to follow.
  • Timing: captions appear alongside the relevant speech.
  • Language: the track is labeled for the language it contains.
  • Playback: watch the published video with captions enabled, including on a phone.

Make a final pass with the audio muted. This is a useful editorial check for missing context: can a viewer understand the instruction from the demonstration and captions together? If the footage itself skips a necessary step, record the missing explanation for the next edit.

Troubleshoot missing or inaccurate automatic captions

YouTube’s automatic caption guidance explains that processing may continue after upload. Captions can also be affected by unsupported languages, unclear sound, overlapping speakers or a long opening silence. When a video needs to be ready for a campaign, prepare a checked caption track through one of the manual options above.

If captions look correct in the editor but not during playback, confirm that you published the revised track and selected the intended language in the player. Recheck the specific problem timestamp instead of reviewing only the opening lines.

Make captions part of your publishing routine

Add a caption reviewer and approval date to your video checklist. For longer demonstrations, our YouTube chapters guide helps viewers find individual steps, while a product demo playlist can connect related lessons.
