To schedule Instagram posts and Reels well, prepare more than a publishing time. Your team needs the approved content, a clear customer next step and someone responsible for checking the finished post. A tidy handoff makes it easier to keep a campaign moving when the person creating the video is not the person publishing it.
This guide combines Instagram’s current scheduling controls with an original worksheet for business owners and small teams. Use it for one post first, then keep the same record for each item in your next campaign.
Prepare the approved version before choosing a time
Give the post one job: demonstrate a product, answer a buying question or introduce a service. Write the action you want an interested viewer to take. That action should match the content and lead to information your business is ready to provide.
Collect the final media, cover choice and caption in one place. Name the files clearly so a teammate can distinguish an approved version from an earlier edit. If the video still needs a clear opening or demonstration, use our product demo video script template before handing it over for publishing.
Schedule a post or Reel in the Instagram app
Instagram’s official scheduling instructions, checked on 14 October 2026, allow public accounts to queue photos, carousels and Reels. The stated limits are 25 posts daily and 30 days ahead. The privacy and audience choices in place when scheduling are retained.
- Begin creating a post or Reel, select the media and complete its caption and edits.
- Open More options and enable Schedule this post or Schedule this reel.
- Choose the publishing date and time, select Done, return with Back, then select Schedule.
The same guidance currently excludes product tags, collaborative or sponsored posts, and fundraisers from scheduled content. Check the official page when preparing a campaign that needs those features.
Copy this scheduling handoff worksheet
Keep this record alongside your social media content calendar. Complete it before passing the post to a publisher. A small team can use a shared document; a solo business owner can use the same fields as a final check.
| Field | What to record |
|---|---|
| Account and owner | Exact Instagram handle and the person responsible for publishing. |
| Post purpose | The customer question it answers and the next action it invites. |
| Approved files | Final media filename, cover choice and location of the approved caption. |
| Destination | The page or contact route viewers should use, with the last check date. |
| Publishing slot | Planned date, time and team time zone; confirm these against the app’s displayed selection. |
| Approval | Reviewer, approval date and any offer or availability details to recheck. |
| Queue check | Who checked the saved item and whether it matches the approved record. |
| Publication and replies | Who will verify the live post, record its URL and answer customer questions. |
Separate the planned publishing time from the time a teammate completed their check. This prevents a note such as “Friday, 3pm” from being mistaken for approval, a deadline or a confirmed publication. Write the time zone in words your team recognizes instead of relying on everyone’s location.
Fictional example: a stationery shop’s planner Reel
This is an illustrative workflow, not a customer result. Paper Day, a fictional stationery shop, has made a short video showing how its weekly planner fits into a work bag. Its goal is to help viewers understand the size and layout before exploring the collection.
Mina approves planner-demo-v3.mp4, chooses a cover showing the open planner and checks the caption against the current collection page. Sam handles publishing. His handoff record names the shop’s Instagram account, the final files and Friday afternoon as the proposed slot, with the team’s time zone written beside it.
Before saving, Sam compares the selected media and time with the record. He then checks the saved item and records that the queue review is complete. Mina owns the later publication check and answers questions about planner dimensions. Both people know what “ready” means and which task remains theirs.
Run a final check before the handoff ends
- Account: confirm the intended business handle, especially when managing several client profiles.
- Content: watch the final video with sound and check its opening, cover and on-screen text.
- Offer details: review names, prices, availability and dates against the information the business has approved.
- Customer route: follow the caption’s suggested next step on a phone and check that the destination explains the relevant product or service.
- Timing: compare the selected slot with your campaign record and related announcements.
- Ownership: assign the live check and replies so an interested customer reaches a prepared team.
For a wider review of the destination, our Instagram profile audit checklist helps you organize profile details and customer next steps before a campaign.
Review the queue and manage changes
For queue management, Instagram directs you through your profile menu to Scheduled content beneath the insights/tools area. Open an item’s options to remove it, edit it, move its publishing slot or publish immediately. See the current management instructions for the available controls.
When campaign details change, update the handoff record too. Record who requested the change and who checked the revised item. Keeping those decisions together makes it easier for a colleague to pick up the work without relying on scattered chat messages.
Finish with a live customer-journey check
After the intended publishing window, open the business profile and check the actual post. Add its live URL to the record, review the caption and destination, and note any questions worth answering in the next video. This closes the gap between preparing content and seeing what a customer can actually use.
